PERSONAL ASSISTANT TO THE CEO

JOB DESCRIPTION

MES is looking for a conscientious individual with good administrative and language proficiency to fill this key role. The position reports directly to the CEO and has ongoing interaction with the Board of Directors and the senior management. The successful candidate will be responsible for managing day to day operation in the CEO office giving administrative support to the CEO, interacting with various stakeholders.

 

MES is a key player in the NGO sector with a footprint in various South African cities - that strives to empower people from poor urban communities to develop holistically. This position is based at the head office which is in Hillbrow.

JOB REQUIREMENTS

  • Maintain and manage the CEO’s diary, phone messages
  • Receive and prepare for visitors, meetings, appointments and workshops
  • Taking minutes of the meetings and preparing meeting packs ensuring all relevant printing and documenting is done
  • Handling correspondence and queries.
  • Proof reading and editing documents where needed
  • Assist with compiling newsletters and reports
  • Co-ordinate and put initial year plan together for MES
  • Help to manage all travel arrangements
  • Manage filing system and ensure all documentation is kept safe.
  • Manage the company Intellectual Portfolio and NPO correspondence
  • Banking accounts management of the organisation with the respective bank.
  • Assist with keeping relevant information on Office365 and develop effective EDMS.
  • Attend meetings on behalf of MES, as minute taker or a representative
  • Relevant qualification
  • Driver’s license
  • At least two years’ experience working as a PA
  • Good level of written and spoken English language ability
  • Experience in report writing and editing documents
  • Excellent interpersonal, written and verbal communication skills
  • Experience in Microsoft Office: Word, Excel and Power Point
  • High standard of ethics and confidentiality
  • Ability to handle sensitive information responsibly
  • Ability to occasionally work after hours

PREFERENCES

  • Experience working full-time in the NGO sector
  • Competent in Afrikaans
  • Previous experience of minute taking at the board level
  • Previous experience in preparing meeting packs at the board level

SALARY

  • Between R11 000 – R13 000 depending on experience and qualification

PERSONAL ASSISTANT TO THE FINANCE MANAGER/TEAM

JOB DESCRIPTION

To ensure the effective administration functioning of MES management support functions through assisting with day to day administrative functions and providing appropriate support to the National Finance Manager.

ADMINISTRATIVE DUTIES

  • Phone and liaise with donors about donations made.
  • Do 18A Certificates for donors on a monthly basis and at each end of financial year.
  • Assist with Debit Order Administration on a monthly basis.
  • Liaise with suppliers to obtain quotations and ensure procurement is done according to policy.
  • Receive and prepare for visitors when required.
  • Assist with the bookkeeping system at MES.
  • Take messages if necessary and forward these as appropriate.
  • Ensure that all queries are dealt with and followed through.
  • Assist with the compiling and distribution of monthly reports.
  • Assist with organising special events, workshops and campaigns.
  • Act as secretary at monthly staff meetings and Audit and Risk meetings.
  • To be helpful when any other general assistance is required with any office tasks.
  • To ensure the correct bookkeeping procedures and policies are kept and updated.
  • To work within the given budget and to assist to draw up new budgets of financial statements.
  • Sort out municipal accounts with the City of Johannesburg.
  • Maintain a leave schedule on a monthly basis of the financial team.

SUPPORT AND ASSISTANCE TO THE NATIONAL FINANCE MANAGER

  • Schedule and prepare for necessary meetings – (Monthly Finance Team Meetings).
  • Maintain and manage the Finance Managers diary.
  • Ensure that all documents are kept in a safe and secure environment.
  • Ensure that all relevant correspondence is send off.
  • Ensure that all filing is done and up to date.
  • Maintain all relevant information on database.
  • Develop and maintain a contacts database of the various cities.
  • Assist with preparing documents for audit purposes.
  • Once Audit is done and signed, Scan each audit documents and save it in the cloud.
  • Send soft copy of signed Audit Statements to Fundraising and Marketing department as well as to the relevant branches concerning their audits.
